Schedule: Office hours with occasional weekend shifts
Term: Full-time, Permanent
Compensation: $50,000 - $65,000
Reporting to: Operations Manager
Discover Canada Tours – a family-owned Canadian tour operator celebrating 20 years of adventures in 2025 – is looking for an experienced Tour Coordinator to join our dynamic and growing team.
Accountable to the Operations Manager, the Tour Coordinator will be involved in the planning, development, administration, and execution of all assigned tour products. This position requires an experienced individual who has either managed a high volume of tours or has direct tour experience within Western Canada.
The successful candidate will be experienced, detail-oriented, organized, and capable of juggling multiple priorities in a fast-paced environment.
The primary responsibility of the Tour Coordinator is to ensure that all logistical and operational elements of assigned tours are thoroughly prepared and executed. This includes working collaboratively with internal teams, suppliers, and partners to meet critical deadlines, deliver exceptional customer experiences, and support tour operations.
What You’ll Be Doing:
Tour Operations:
- Manage operations and tour coordination for assigned destinations including hotel bookings, activities, itineraries, rooming lists, passenger manifests, rental equipment, waivers, meals, and payments.
- Prepare and distribute daily and weekly guide itineraries.
- Conduct regular quality checks on all aspects of assigned tours, ensuring accuracy in inventory and documentation.
- Participate in tours when possible to better understand and enhance the guest experience.
- Collaborate with the Product Development team to improve tour itineraries based on guide and guest feedback.
- Track and adhere to supplier deadlines to avoid penalties and maintain preferred partner relationships.
- Assist with fare, activity, and inventory management in the booking system.
- Load and maintain tour information in FareHarbor, Ventrata and internal systems, ensuring all rates, availability, and content are accurate.
- Monitor coach and ferry bookings for your tour series.
- Maintain and update operational spreadsheets with all relevant tour data.
Administrative and Support Duties:
- Support weekend tour departures and fulfill on-call responsibilities on a rotating schedule.
- Participate in assistant tour guide or chaperone duties as required to understand product delivery.
- Assist with weekday tour departures including signage, bus check-ins, and crowd control.
- Answer phones and assist walk-in customers on a relief basis in coordination with the Sales team.
Objectives:
- Continuous support for our Tour Guides to ensure that our guests have the best experience possible
- Understanding that this position has its stressful moments during the busy summer months and that constant collaboration within the team helps relieve this pressure
- Promoting a positive and cohesive team environment within the operations department and among the tour guides
Work Environment & Typical Schedule:
- Full-time, based in-office at Discover Canada Tours’ downtown Vancouver headquarters.
- Typical hours: Monday–Friday, 9:00 am–5:30 pm.
- Availability for occasional weekend shifts and rotational on-call duties required during peak season (May–September).
- Flexibility is essential, especially during the busy summer season.
Reporting & Collaboration Structure:
- Reports directly to the Operations Manager (Graham Wood).
- Collaborates with the Operations Team for tour-related logistics and support.
- Works closely with the Fleet Supervisor for guide assignments and vehicle logistics.
Qualifications:
- Minimum of one to two years operations experience within a tour operator environment is a must.
- College diploma or University degree with a focus in Travel & Tourism preferred.
- Canadian travel experience (specifically in Western Canada).
- A clean criminal record check with the vulnerable sector.
- High level of proficiency with Google Sheets and MS Excel.
- Experience with backend systems such as Ventrata and Fareharbor is preferred.
- Able to meet tight deadlines, multitask, and work well under pressure.
- Tour guiding experience preferred.
- Canadian Citizen or PR preferred. Work visas with at least 1–2 years of validity are accepted.
