Position: Operations Coordinator
Level: Entry/Intermediate Level
Reporting to: Operations Manager and Operations Supervisor
Start date: March 15th or April 1st, 2025
Wage: $45-55k depending on experience
Position Summary
Reporting to the Operations Manager the Day Tour Coordinator will be primarily responsible for ensuring the seamless execution of day tour operations. This role will focus on managing all aspects of day tour logistics, including supplier coordination, itinerary preparation, and real-time operational support to ensure an exceptional guest experience.
You will work closely with suppliers, customers, and internal teams to meet operational deadlines and maintain the highest standards of service delivery. This position requires a proactive, detail-oriented, and collaborative approach to effectively manage day tour operations.
Key Responsibilities
Day Tour Coordination & Logistics
- Oversee the day-to-day operations of all assigned day tours, ensuring smooth execution and timely coordination of logistics.
- Manage all reservations related to day tours, including hotel partners (if applicable), activities, transportation, and meals.
- Maintain and update tour details, itineraries, rooming lists, passenger lists, and activity bookings.
- Track and manage supplier deadlines to avoid penalties and ensure adherence to contractual agreements.
- Maintain updated activity rates and availability in the booking system, making adjustments as necessary.
- Assist with loading and maintaining tour information in the booking system, ensuring accuracy in pricing and tour details.
- Monitor tour inventory levels to optimize capacity and availability.
- Provide real-time operational support for day tour departures and on-call support on a rotational basis.
Tour Guide Support & Client Experience
- Prepare and distribute daily and weekly itineraries for day tour guides.
- Travel on assigned day tours periodically to ensure first-hand knowledge of the product and quality assurance.
- Work with the Product Team to continuously improve day tour itineraries based on guide and guest feedback.
- Assist in monitoring guide performance, ensuring adherence to company policies and service standards.
- Support tour guides with necessary materials, including tour bags, signage, and departure checklists.
- Provide on-site assistance at scheduled day tour departures, ensuring a smooth and organized process.
Operational Support & Administration
- Assist the Sales team with inquiries related to day tour logistics, operational requirements, and client requests.
- Maintain and update operational spreadsheets and documentation for day tours.
- Support office administration related to day tour operations, including payment follow-ups and waiver management.
- Ensure compliance with safety and operational protocols for all day tour activities.
Support Duties
- Participate in weekend departure support and on-call duties as part of a rotational schedule.
- Assist as a tour guide or chaperone when required.
- Provide backup support for answering phones and assisting walk-in clients.
Position Requirements
- College diploma or university degree in Travel & Tourism or a related field preferred.
- Minimum of one to two years of operations experience within a tour operator environment, preferably in day tours.
- Knowledge of Canadian travel destinations, particularly key day tour locations.
- Strong proficiency in Google Sheets and MS Excel.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
- Strong organizational skills with the ability to multitask and work under pressure.
- Self-motivated with a proactive approach to problem-solving.
- Willingness to work flexible hours, including weekends and on-call rotations during peak seasons.
- A valid driver’s license and ability to speak another language is an asset.
Work Schedule & Reporting Structure
- Typical workweek: Monday – Friday (9:00 AM – 5:30 PM), with occasional weekend duties during the summer based on operational needs.
- Rotational weekend on-call duties. (this might involve a full day in the office on the weekend)
- Office-based position at headquarters in downtown Vancouver.
- Reports to the Operations Manager (Graham Wood) and Operations Supervisor (Andrew Griffith)

Compensation
$45,000.00 - $55,000.00 per year
